Reservation Policies/Agreement

Rental Acknowledgment: Guest acknowledges and understands that he/she is a licensee of the Owner and not a tenant; and that he/she is not acquiring any interest in the property. It is understood that the unit is privately owned, including the furnishings. We reserve the right to refuse service to anyone. Verification: A copy of your driver’s license is required prior to your entering the property.

Cancelation Policy: A cancellation fee of 20% of the total rental will be charged if you cancel your reservation. If cancellation takes place less than 90 days before the reservation date and the property is not re-rented for the canceled period, then the entire deposit (50%) shall be forfeited. If the unit is re-rented, the deposit, less the 20% cancellation fee, will be refunded.  Cancellations less than 14 days will be charged for the the full rental amount. (No discounts for late arrival or early departure.)

*All reservation deposits made with a credit card are subject to a 3% credit card processing fee if refunded due to a cancellation, regardless of when the reservation is canceled. Any changes to a reservation after it has been made will incur a $25 change fee.

Check in/Check out: The guest(s) understand and agree that check in time is between 4:00 pm and 6:00 pm at the rental office. Every attempt is made to have the cabin prepared for check in at that time, but access to the property is given only after the home has been inspected and cleaned. Due to last minute bookings and the frequency in which our customers choose to extend their stay, we cannot commit to allowing an early check-in. Please feel free to check with us on the day of your arrival and we will be happy to accommodate you if the cabin is ready. No one may request a key except the contracted renter; unless prior arrangements have been made. Check out time is no later than 10:00 a.m., there may be certain times when we may allow an exception, but prior arrangements must be made. An additional night stay will be charged for late checkouts.

For check-ins after 6:00 PM please call ahead to make arrangements for a late check-in.

I understand that I will not receive a refund if I decide to depart the rental cabin early or shorten my stay.

Key Return: Leave keys on kitchen counter at check out and shut the door behind you. The cleaners will be right behind you to collect the keys. Guest(s) will be charged a minimum of $25.00 for the costs of re-keying or replacing of the lock if all keys are not returned at time of check out.

Minimum Age Requirement: You must be of “legal and responsible age” to rent our cabins. We will not rent to anyone under 21 years old. (Of course, teenagers & children are welcome with adult supervision). The person renting the cabin must be one of the guests who remain with the rental party throughout their stay.

Right of Entry: Bear Lake Cabin Rentals & Property Management, Inc. reserves the right to enter property at any time to investigate disturbances, check occupancy, check damages, and make repairs as management deems necessary. Management will attempt to notify guest when service/repair entry is to take place.

Use of the Premises: Guest(s) understand that they are solely responsible for any property damage, accidental injury to any person(s) or loss sustained by any person, including loss of money, jewelry, and other items of personal property. Guest(s) shall inspect and be familiar with proper use and application of all items of personal property in the home prior to using them. Guest(s) hereby agrees to INDEMNIFY and hold harmless the homeowner and Bear Lake Cabin Rentals & Property Management, Inc. from any and all claims, including those of third parties, arising out of or any way related to guest(s) use of premises of the items in personal property provided therein. Guest(s) assumes the risk of injury or other losses relating to and including, but is not limited to, hiking on the property, using the stairs inside and outside, using the hot tub, climbing on or around anything both inside or outside the property, etc. All things just mentioned will be done at guest(s) own risk. Guest(s) will not hold Bear Lake Cabin Rentals & Property Management, Inc. or the property owner responsible for any accidents, injury, or loss of life resulting from the activities listed above, or any other unforeseen event.

Occupancy and use of premises shall not be such as to disturb or offend neighbors or residents. Our rental cabins have been designed for individual and family use only. If a disrupted party of situation develops, all guests will be asked to leave immediately without refund. This policy is enforced without exceptions.

Guest(s) are not allowed to hookup Campers, RV’s, Travel Trailers and Motor Homes to our rental properties. Should we find a hookup, occupancy will be terminated immediately without a refund. At Harbor Village there is a lower parking lot where Campers, Motor Homes, Travel Trailers and RV’s can be parked. There are several RV Park’s in town to accommodate those wishing to stay in their RV, Motor Home, Travel Trailer or Camper. If you need more information about RV Park’s please let us know.

Please do not move the furniture or contents of the cabin. Do not rearrange the furniture.

Damage/Theft: Guest(s) agree to leave the premises as they found them, in a generally clean, undamaged condition. Guest(s) shall be responsible for all intentional or reckless damages caused by any member of the party staying or visiting the reserved cabin, this is to include damages done while under the influence of drugs or alcohol. The credit card on file is authorized for charge of any/all damages occurring during the scheduled stay.

Guest(s) hereby authorize Bear Lake Cabin Rentals & Property Management, Inc. to charge any expenses related to intentional or reckless damage, cleaning of the unit beyond normal wear and tear or related to theft. If at any time the housekeeping crew is required to clean up an unexplainable mess, the guest(s) will be charged a double cleaning fee. Missing or damaged items from the cabin will be replaced at current retail value plus a minimum $100.00 service fee charged to the guest(s).
Fire Pits: No fire pits shall be constructed on properties that don’t have them, and no outdoor fires of any kind shall be permitted outside of existing fire pits or at properties that do not have fire pits. If guest(s) add a fire-pit to a property that does not currently have one, they will be in violation of this contract/agreement and will be required to vacate the premises without refund and pay charges of at least $50.00 to dismantle the fire pit.

Garbage Removal: All garbage must be bagged in trash bags provided and taken to the nearest dumpsters prior to departure. Failure to remove all garbage from cabins will result in assessment of additional charges of at least $20.00 or more depending on amount of garbage left behind.

Alcoholic Beverages/Illegal Drugs: Consumption of alcoholic beverages in rental units is limited to persons of legal age. Guest(s) understand that there is to be no excessive drinking of alcohol. Illegal drug use is strictly prohibited. (Guest(s) in violation of this policy will be required to vacate the premises without refund).

Minimum Stays: We have a three night minimum charge on all reservations. (Minimum night charge may be reduced to two nights in the off-season). Some holidays and other peak season weekends require a 4 to 5 night minimum charge.

Payment: A non-refundable deposit of 50% of total balance is required at the time of reservation. The remaining 50% is due at the time of check-in.

Damage Deposit: Guest(s) agree to leave a credit card on file at time of check-in as a security deposit for any damage to the property or its contents. Guest(s) agrees the credit card on file may be used to pay for any damages caused by rental party to the rental property, its furnishings and equipment or any items missing from the rental cabin during their stay. If the card on file cannot be processed for any reason the contracted renter must provide payment for damages by another means. Any disputes that arise that may need to be settled in court, the contracted renter is responsible for paying any and all costs associated with the court proceedings.

Bear Lake Cabin Rentals & Property Management, Inc. does not want to charge your credit card for additional charges. However, we must protect our homeowners. Please work with us to guarantee that the property is left in the same condition you found it. Upon arrival, please report any damages, shortage of supplies, or housekeeping issues immediately. Hot Tub Usage: (Applicable to properties with Hot Tubs only). Guest(s) agree not to hold Bear Lake Cabin Rentals & Property Management, Inc. or the property owner responsible for any accidents, injury, or loss of life resulting from the use of the hot tub.

Hot tubs will be inspected after each rental. Cover should remain on the hot tub at all times when not in use. Certified hot tub cleaners check and sanitize the hot tubs prior to each guest arrival. Owner and Management Company are not responsible for injury while using hot tubs. Please consult your physician before entering any hot tub. Pregnant women are advised not to use hot tubs. DO NOT ALLOW CHILDREN TO PLAY IN THE HOT TUBS OR BE LEFT ALONE FOR ANY REASON. Do not wear jewelry in hot tubs. We are not responsible for any damage or loss of jewelry of any kind. Do not bring food or drink into the Hot tubs. Please shower before entering hot tub. Damage to any hot tub cover will result in a $350.00 charge. Broken latches will result in a charge of $35 per broken latch. Guest is not to drain hot tub. If there is a problem with the hot tub, notify management so that it can be taken care of.

Owner’s Closet: Rental units have a locked private owner’s closet that is not part of the guest(s) rental and guest(s) agree(s) not to disturb or tamper with the closet.

Occupancy: Cabin occupancy is to be limited to the maximum number of guests allowed for that cabin. Occupancy numbers are established based on fire and safety codes. We do not charge based on number of guests. The occupancy rate is there solely for safety reasons. If it is discovered that more than the maximum number of guests allowed are “staying” on the premises, additional guests will be asked to leave immediately. If additional guests fail to comply, all guests will be asked to vacate the premises without a refund. (To clarify: “staying” and “visiting” the cabin are two separate things. A visitor does not count against the maximum occupancy and would be considered someone who is not staying overnight on the premises. Extra visitors are fine, although we ask you not to over crowd the cabin with visitors either).

House Parties are not allowed under any circumstances. If a rental is booked for a house party without our knowledge, occupancy of the cabin will be terminated immediately without a refund.

Cabin Supplies: Bear Lake Cabin Rentals & Property Management, Inc. will provide guest(s) with a variety of complimentary and non-refillable items such as soap, dishwasher detergent, toilet paper, trash bags, and paper towels. The cabin is also supplied with linens and towels, as well as kitchenware and utensils. All linens, towels, kitchenware, and utensils are inventoried upon check out. The Guest will be charged for any missing/damaged items. There are washers and dryers in almost all of the cabins. Feel free to use them to wash any linen’s during your stay.

Pets: We have a strict no pet policy in all of our cabins! (Please do not disregard this policy, as it will result in an additional fee.) Out of respect for our homeowners and guests with allergies, we cannot make an exception no matter how small or well behaved the pet. If evidence of a pet is discovered, tenant will be responsible for the costs of fumigating and deep cleaning the cabin for fleas, cleaning and repair of any damaged property. This charge is never less than $500, and can be more depending on damages. (Pets are not allowed outside the unit either).

Smoking/Fireworks: We have a strict no smoking policy in all of the cabins! Smoking is allowed outside on the porches and decks but not inside the cabins. (Please do not disregard this policy, as it will result in fine of at least $500.00.)

No firearms, firecrackers, fireworks or explosives of any kind are allowed to be discharged in or outside the cabins. Repairs to a cabin or grounds caused by the use of any of these items will be billed to the renter occupying the cabin at the time the damage occurred.

Items Left in Unit: Please make sure you get all your personal items when leaving the cabin. If you leave something at the cabin, please call the office immediately and we will try to locate it for you. We cannot be responsible for any personal items left in the cabin. A $20.00 service charge is required if you request us to pick up and ship any items left in the unit. Shipping and service charges must be paid in advance before items will be sent.

Malfunctions: We do not guarantee that utilities, appliances, or amenities will not fail, but we do guarantee that repairs will be made as soon as possible. No refunds will be made due to any failures. Guest(s) understand and agree that there are circumstances beyond the owner’s control, and no recourse or action can be brought against the owner for these circumstances. For example: malfunction of plumbing or electrical, construction activity, or other situations over which the owner has no control. Guest(s) understand that Bear Lake Cabin Rentals & Property Management, Inc. reserves the right to move guest(s) to another property, if needed repairs (i.e. a/c malfunction) cannot be accomplished in a timely manner.

Falsified Reservations: Any reservation obtained under false pretense will be subject to forfeiture of advance payment, deposit and/or rental money, and the party will not be permitted to check in.

Parking: Vehicles are to be parked in designated parking areas only. Parking on the road or yard is not permitted. Any illegally parked cars are subject to towing; applicable fines/towing fees are the sole responsibility of the vehicle owner. At Harbor Village there is a lower parking lot where extra vehicles, boats, trailers, snowmobiles, etc. may be parked.

Storm Policy/Road Conditions: No refunds will be given for storms. Mountain roads can be curvy and steep. Gravel roads are well maintained, however we do not refund due to road conditions. During the winter months please be aware that 4-wheel drive vehicles are recommended for all cabins and is required to access some of the cabins.

No Daily Maid Service: While linens and bath towels are included in the cabin, daily maid service is not included in the rental rate. However, this service is available at an additional charge if prearranged with Bear Lake Cabin Rentals & Property Management, Inc. We suggest you bring your own beach towels. We do not permit towels or linens to be taken from the cabins.
